Location: Canada-Ontario-Mississauga
Time: Part Time (16hrs per week, 4-6 hrs. typically MON-THR, mandatory TUE & WED)

Position Purpose:

Reports to VP Strategy, Planning & Category Management performing office services functions for the Canadian head office and remote team members. The incumbent's responsibilities include reception, mail-room services, coordination of resources and maintenance at Canadian head office. Coordinate resources to provide safe, pleasant, and effective working facilities at the Canadian head office. Provide Mailroom services for local and remote staff and assist with other facilities support as needed.

Key Responsibilities:

  • Provide secure and well-maintained facilities and effective space plans at the Canadian head office and national sales offices.
  • Purchase and replenish the kitchen area with drinks and snacks
  • Provide mail/courier and office supply services in a professional, reliable, and timely manner.
  • Participate in various facilities projects related to space modification and/or construction, security, and health & safety issues.
  • Lead the setup/take-down for townhall meetings
  • Proactively ensure office cleanliness is maintained (including via third-party cleaners) and ensure furniture well maintained
  • Assist with processing visitors and property passes for the team.
  • Communicate fully with superiors, customers, and others who have a need to know. Be informative and communicate in a way that is timely, complete, candid, and clear.
  • Contribute to an environment in which all team members are respected regardless of their individual differences and are motivated to improve both their individual and team contributions to achieve desired business results.

To succeed in this role, you will need the following qualifications:

  • High School Diploma.
  • 2 years or more in an Office Services or Administrative support in a corporate environment.
  • Demonstrated ability to build strong sustainable business relationships at various levels throughout organization and with vendors and customers.
  • Must be able to use Outlook (intermediate to expert level) and have advanced computer skills using Windows, Word, Excel, PowerPoint, and SharePoint.
  • Experience arranging catering, and general office organization.
  • A demonstrated ability to act independently, organize workload, set priorities, work well under deadline pressures adapt to change, and handle confidential material all with superb accuracy.
  • Ability to exercise independent problem solving and decision making with a high degree of initiative and self-coordination.
  • Comfortable in a changing work environment.
  • Ability to travel less than 5%.
